About Us

The African Institute for Mathematical Sciences (AIMS) is committed to transforming Africa through advanced scientific training, innovative research, and impactful community engagement. We are seeking a dedicated and proactive Administrative and Logistics Intern to join our team in Kigali. This role is ideal for an organized and detail-oriented individual who is passionate about supporting smooth operational workflows and contributing to the success of institutional activities.

Key Responsibilities:

  • Provide administrative and logistical support to the Operations team to ensure efficient daily office operations, events, and activities.
  • Coordinate office logistics, maintain records, manage correspondence, and assist in procurement and travel planning.
  • Track and maintain logistics requisition records, support documentation reviews, and assist in preparing and updating office policies and procedures.
  • Manage office supply orders, research and engage new vendors to promote cost-efficient procurement practices.
  • Prepare payment documents, expense claims, and service agreement files, ensuring accuracy and completeness before processing.
  • Ensure timely submission of required documentation for approvals and financial transactions.
  • Contribute to improving operational workflows through proactive support and collaboration with team members.

Requirements:

  • Bachelor’s degree or Diploma in Business Administration, Logistics, Management, or a related discipline.
  • Strong organizational and time management skills with the ability to multitask effectively.
  • Excellent attention to detail and high levels of accuracy in handling documentation.
  • Good communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work collaboratively in a multicultural and dynamic environment.
