Job Description

The Assistant Secretary provides administrative and organizational support to senior management, ensuring the efficient coordination of office operations.

This role involves managing documentation, scheduling meetings, maintaining records, and supporting communication across departments within the company’s food production, agricultural, and distribution operations.

Key Responsibilities

  • Provide day-to-day administrative support to the Company Secretary and management team
  • Prepare, organize, and maintain official documents, reports, and records
  • Schedule meetings, appointments, and coordinate logistics for engagements
  • Record and distribute accurate minutes of meetings
  • Handle incoming and outgoing correspondence (emails, letters, calls) professionally
  • Maintain confidentiality of sensitive corporate information
  • Assist with compliance documentation and regulatory filings where required
  • Support communication across departments (production, distribution, supply chain)
  • Manage office supplies and ensure smooth administrative operations
  • Assist in coordinating company programs, including farmer support initiatives and internal projects

Qualifications & Requirements

  • Bachelor’s Degree in Business Administration, Secretarial Studies, or a related field
  • Proven experience in administrative or secretarial roles (preferably in FMCG, agriculture, or manufacturing sectors)
  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • High level of discretion and professionalism
  • Ability to work effectively in a fast-paced environment
