About the Role
This isn’t your typical assistant role, it’s a hybrid of executive support, tour coordination, and creative collaboration. As our Executive Assistant (Music & Touring), you’ll work hand-in-hand with leadership to manage international tours, production schedules, artist projects, and day-to-day operations.
You’ll wear many hats; from organizing calendars across time zones to advancing shows with venues and handling financials. But more importantly, you’ll be part of something bigger: bringing live music to audiences around the world.

What You’ll Do
Executive Support
- Manage calendars, emails, and priorities across multiple time zones.
- Prepare agendas, track action items, and coordinate follow-ups for meetings and planning sessions.
Booking & Contracts
- Be the first point of contact for booking inquiries.
- Draft and manage offers, contracts, and countersignatures.
- Track holds, confirmations, and maintain organized booking records.
Production Advancing
- Collaborate with venues on technical riders, stage plots, and schedules.
- Oversee settlements and reconcile post-show records to ensure everything runs smoothly.
Finance & Administration
- Prepare invoices, track payments, and follow up on outstanding balances.
- Maintain organized documentation for contracts, invoices, and compliance.
Marketing & Media
- Coordinate on-sales, listings, and marketing assets with venues and internal stakeholders.
- Ensure accurate event listings across Bandsintown, Songkick, and company platforms.
- Support press and influencer outreach; liaise with designers and freelancers.
Travel & Hospitality
- Book flights, hotels, and ground transport.
- Prepare detailed itineraries for each tour leg.
Merchandising & E-commerce
- Support show-day merchandise setup and logistics.
- Track inventory, sales, and assist with online merch operations via platforms like Shopify.
Communication Hub
- Serve as a central point of contact for promoters, venues, and partners.
- Manage general inquiries from the company website and social media.
Special Projects & Research

Research opportunities for bookings, brand partnerships, grants, and industry programs.
What You Bring
- 2–5+ years of experience in music or entertainment (executive support, booking, or tour admin).
- Excellent written communication and professional email etiquette.
- Strong organizational and time-management skills — thrives under pressure.
- Proficiency with Google Workspace and spreadsheets.
- Familiarity with ticketing systems and concert deal terminology.
Bonus Skills (Nice-to-Have)
- Experience with Canva, Adobe, or DocuSign.
- Understanding of Shopify or merch workflows.
- Exposure to press/media coordination or influencer outreach.
