Job Description
Kashia Limited is recruiting on behalf of its client for an Executive Virtual Assistant to provide high-level administrative support to the founder of a growing business.
This is a role for someone who can take ownership, stay ahead of deadlines, and anticipate what needs to be done rather than simply waiting for instructions. You’ll help keep the executive organised, focused, and on top of important priorities.
Key Responsibilities
- Manage the executive calendar, including scheduling, rescheduling, and protecting important focus time.
- Monitor and organise the executive inbox, draft responses, and highlight urgent or important messages.
- Coordinate flights, accommodation, travel arrangements, and detailed itineraries.
- Prepare meeting agendas and take accurate notes during meetings.
- Track action points and follow up with relevant people to ensure tasks are completed.
- Manage expense reports, subscriptions, and vendor communications.
- Conduct research and handle various administrative and personal tasks as required.
- Keep the executive informed about upcoming commitments, deadlines, and outstanding priorities.
Requirements
Applicants should have:
- At least 2 years of experience supporting a senior executive, business leader, or founder.
- Excellent written English and strong professional communication skills.
- A professional, discreet, and trustworthy approach to confidential information.
- Strong knowledge of Google Workspace.
- Experience or familiarity with Notion, Slack, and scheduling tools.
- Availability to maintain reliable working-hour overlap with US Eastern or UK time zones.
- Excellent organisational and time-management skills.
- A proactive mindset and the confidence to follow up with people politely but persistently.
