Job Description
Are you highly organized, detail-oriented, and skilled at coordinating schedules? A growing global online tutoring company is looking for a Scheduling & Rostering Officer to join its remote team on a part-time basis.
In this role, you’ll be responsible for ensuring that online classes are staffed with the right tutors at the right time. You’ll work across multiple countries and time zones, helping to create efficient schedules that meet student demand while supporting tutors and internal teams.
What You’ll Be Doing
As a Scheduling & Rostering Officer, your key responsibilities will include:
- Creating and maintaining tutor schedules to ensure every class is fully staffed.
- Matching tutors to classes based on qualifications, subject expertise, language skills, availability, and student needs.
- Managing schedules across different countries and time zones.
- Monitoring tutor utilization and adjusting schedules to maximize efficiency.
- Responding quickly to cancellations, tutor absences, and changes in student enrollment.
- Coordinating emergency tutor coverage to minimize disruptions.
- Planning schedules for recurring classes, seasonal demand, and new educational programs.
- Working closely with Academic, Student Success, Recruitment, HR, and Operations teams to forecast staffing needs.
- Keeping accurate scheduling records using workforce management and learning management systems.
- Tracking tutor attendance and identifying recurring scheduling challenges.
- Preparing reports on staffing levels, schedule performance, and tutor utilization.
- Recommending improvements to scheduling processes and operational workflows.
What We’re Looking For
The ideal candidate should have:
- Experience in scheduling, rostering, workforce planning, operations coordination, or resource allocation.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- The ability to prioritize multiple tasks in a fast-paced environment.
- Experience using scheduling software, workforce management tools, CRM platforms, or learning management systems.
- Strong written and verbal communication skills.
- Good analytical and problem-solving abilities.
- Intermediate to advanced proficiency in Microsoft Excel or Google Sheets.
- The ability to work independently while collaborating effectively with a remote team.
